Sharing & Collaboration
Share notes with teammates and collaborate in real time. Invite editors or read-only viewers by email.
Krokanti Notes lets you share individual notes with other users by email. You can grant read-only or edit access — collaborators see the note in their own account and any changes sync in real time.
Sharing a Note
- Open the note you want to share
- Click the share icon in the editor toolbar (or ⋯ menu on mobile)
- Enter the email address of the person you're sharing with
- Select their permission level: Can view or Can edit
- Click Share
The recipient receives an email notification with a link to the note. If they don't have a Krokanti Notes account, they'll be prompted to create one for free.
You can share a note with multiple people — each with their own permission level. A collaborator with edit access can also share the note with others.
Permission Levels
| Permission | What they can do |
|---|---|
| Can view | Read the note, see version history, copy content |
| Can edit | Edit title and content, add tags, view history — but cannot delete the note or change sharing settings |
The note owner (the person who created it) is the only one who can delete the note, change permissions, or revoke access.
Managing Collaborators
- Open the shared note
- Click the share icon
- In the sharing panel, you'll see all current collaborators
- Change a collaborator's permission or click Remove to revoke their access
Removed collaborators immediately lose access — the note disappears from their account.
Viewing Shared Notes
Notes shared with you appear in your Shared with me section in the left sidebar. They're visually distinct from your own notes.
Shared notes sync in real time. If you and a collaborator are both editing the same note simultaneously, Krokanti Notes detects the conflict and shows a banner so you can merge the changes manually.
Public Links
For sharing with anyone (without requiring a Krokanti Notes account), use Public links instead. See Public Note Links for details.
Secure Notes Cannot Be Shared
Encrypted (secure) notes cannot be shared — sharing would require sending the decryption key to collaborators, which would undermine the end-to-end encryption model.
If you try to share a locked secure note, you'll see an error. Decrypt the note first (remove its PIN) if you want to share its content.
