Sharing Permissions: Read vs Edit
Understand the difference between read-only and edit access when sharing notes with collaborators.
When you share a note with someone, you choose their permission level: Can view (read-only) or Can edit. Understanding what each level allows helps you share confidently.

Only the note owner (the person who created it) can delete the note or modify who has access.
Choosing the Right Permission
Give "Can view" when:
- Sharing reference material that shouldn't be changed
- Distributing a document for review without allowing edits
- Sharing with a large group where you want to control the content
Give "Can edit" when:
- Collaborating on a document together
- Creating a shared task list or meeting notes
- Working with a trusted teammate who needs full editing access
You can change a collaborator's permission at any time — open the share panel, find their name, and update the dropdown. The change takes effect immediately.
Sharing with Multiple People
You can share a note with multiple people at different permission levels. For example:
- Share with your manager as "Can view" (they just need to read it)
- Share with your colleague as "Can edit" (you're working on it together)
Each collaborator manages access separately.
What Collaborators See
When someone accepts a shared note:
- It appears in their Shared with me section in the sidebar
- They see the note title, content, and tags
- They do not see other collaborators or the sharing settings (only the owner can manage sharing)
Revoking Access
To remove someone's access:
- Open the note
- Click the share icon in the toolbar
- Find the collaborator in the list
- Click Remove next to their name
They immediately lose access and the note disappears from their account.
Removed collaborators cannot see any edits they made to the note — but those edits remain in the note's version history (visible to the owner).
